Oregon Urology Institute has a Full-time, Front Office Manager opportunity available.

Oregon Urology Institute is one of the largest, most advanced urological centers in the Northwest. Oregon Urology Institute provides patients with some of the region's finest medical experts covering every major urological specialty using proven and leading-edge technologies such as robotic surgery, immunotherapy, and radiation therapy.

The Front Office manager will ensure efficient operations and seamless coordination within our medical office to oversee day-to-day activities, optimize workflows, and maintain a high standard of patient care, ultimately enhancing the overall effectiveness and success of our office. You will be involved with the employees' career development and provide a positive work environment. This position is an integral part of our administrative team, working closely with physicians, nurses, and other healthcare professionals. You will oversee the smooth operation of our medical office, ensuring efficient workflows and optimal patient experiences.

Job Duties:

  • Managing and supervising the day-to-day operations of the front office, including staffing, scheduling, and resource allocation.
  • Performs the role of receptionist when staffing needs require.
  • Oversees the check-in, check-out, and surgery scheduling functions.
  • Developing and implementing office policies and procedures in compliance with healthcare regulations and industry best practices.
  • Collaborating with clinical staff to optimize patient flow, reduce wait times, and enhance the overall patient experience.
  • Conducting regular performance evaluations for office staff, providing constructive feedback, and facilitating professional development opportunities.
  • Organizes and conducts regular staff meetings and training sessions.
  • Ensuring compliance with HIPAA regulations and maintaining patient confidentiality.
  • Handling patient inquiries, complaints, employee relations, and conflict resolution in a professional and empathetic manner.
  • Collaborating with other department managers to streamline cross-functional workflows and improve organizational efficiency.
  • Stay adaptable to continuous change and utilize problem solving skills as needed.
  • Anticipate future needs and improve quality and efficiency of process.
  • Make recommendations regarding daily operations as appropriate to the CEO, and the physicians executive committee.
  • Responsible for communication between all groups in the office (i.e., other sites, back office, providers, management, medical records, and billing department)

Position requirements:

  • 5 years of experience in a medical office management or healthcare administration role.
  • In-depth knowledge of medical office operations, EHR systems, and compliance regulations.
  • Strong leadership and interpersonal skills, with the ability to motivate and guide a diverse team in a high-volume, fast paced medical practice.
  • Must be able to multi-task.
  • Must maintain patient and practice confidentiality.
  • Must be able to create and maintain positive cooperative relationships with patients, physicians, providers, and staff.
  • Excellent patient service skills
  • Must demonstrate a team-oriented work ethic.
  • Exceptional organizational and problem-solving abilities, with attention to detail.
  • Excellent communication skills, both written and verbal, effectively and professionally interact with staff, patients, and external stakeholders.
  • Proficiency in medical terminology and understanding of healthcare workflows.
  • Demonstrated ability to adapt to changing environments and manage competing priorities.

Preferred qualifications:

  • Bachelor's degree in Healthcare Administration or a related field (preferred) or any combination of experience and training that provides the required knowledge, skills and abilities required to be successful.
